Give your crew what to install on each booth
Keyqo gathers the options your exhibitors ordered into a preparation list, a PDF you hand as is to your setup crew and your suppliers, with nothing to retype. Three printable floor plans complete it, including the setup floor plan, which places each option on its booth. All of it is included in the three plans, from €15 excl. VAT a month, billed annually.
What the list contains
The “By booth” table lists each booked booth in number order, with the exhibitor’s name and their options. Your crew goes from booth to booth.
The “By option” table gives the total for each option and the booths that ordered it. Your rental company knows how many tables to deliver, your electrician how many connections to run. For an option that requires a file, a sign to print for example, the list shows whether the exhibitor has uploaded it.
Where the list comes from
Your exhibitors order their options when they book, you add more later with a supplement, and the list picks up all of it.
In the option catalog, you set an order deadline, and after that day, your exhibitors no longer add options themselves.
Three printable floor plans
Your hall prints as a PDF, one page per floor, and you choose what the plan shows.
- The sales floor plangives each booth’s number, size and price, and marks those already booked. It helps you sell the spots that remain.
- The exhibitor floor planwrites each exhibitor’s name on their booth. It is for the entrance and the signage.
- The setup floor planmarks the ordered options on each booth with a letter explained in the legend. It goes with the list at setup.
You draw the floor plan once, with the event floor plan software, and the same plan serves to sell, to welcome and to set up.

On Pro and Organizer, the exhibitor’s detail view at exhibitor check-in also shows their options, and the entrance knows what to hand them.
Questions about the preparation list
Does the preparation list include prices?
No, you hand it to your rental company without showing your prices. For amounts, you export the bookings list from payment tracking.
Are unpaid bookings counted?
Yes, as soon as they are confirmed.
Does the list update on its own?
It reflects the orders at the time of download. Download it again right before setup.
