After a cancellation, offer the booth to the exhibitor who was waiting
On the Pro and Organizer plans, an exhibitor can join the waiting list for a booth that is already taken, and a cancellation no longer leaves you with an empty booth. If the booking for that booth is canceled or rejected, the booth is held, and you offer it to the exhibitor of your choice for 24, 48 or 72 hours. Pro costs €33 excl. VAT a month, billed annually.
Exhibitors sign up for a specific booth
Your event is full, and exhibitors are still writing to you. On the floor plan where your exhibitors book their booth online, the one who comes too late signs up for the booth they want, not for the whole event. In their exhibitor area, they see the booths they are waiting for and can leave the list whenever they want.
When the booth frees up
No one can book it while you decide, and the floor plan shows it as “Held for the waiting list”. If the exhibitor cancels their own request, you get an email saying which awaited booth has freed up.
You decide who to offer it to
For each freed booth, you see who is waiting for it, in order of arrival, with their company and the booths they already have. An exhibitor who called you instead of signing up, you register them yourself from exhibitor management, and the booth is theirs.
You choose an exhibitor and a deadline, 24, 48 or 72 hours. They get an email, and only they can book the booth during that time. If they don’t book, you decide again, or you release the booth to everyone.

Every exhibitor accepts your event rules online, in their name, before sending their request.
A booth freed by a cancellation is offered to an exhibitor on its waiting list, who has 48 hours to book it. Otherwise, it is offered to another exhibitor on the list or put back on sale.
Questions about the waiting list
Does Keyqo assign the freed booth on its own?
No. You choose who to offer it to, in order of arrival or not, and the booth stays held until you decide.
Are the exhibitors on the list notified when the booth frees up?
The exhibitor you offer the booth to gets an email. The others see the booth as “Held for the waiting list” on the floor plan.
What if I don’t decide?
After 7 days without a decision, the booth becomes bookable by everyone again. You can change that period for each event.
Can an exhibitor wait for several booths?
Yes, as long as they haven’t reached the number of booths you allow per exhibitor.
What happens if no one is waiting for the freed booth?
It becomes bookable by everyone right away.

The waiting list is included in the Pro and Organizer plans. Pro costs €33 excl. VAT a month billed annually, or €39 excl. VAT a month with no commitment, in which case you only pay for the months of preparation. Pro includes 5 events visible at the same time, 200 booths per event and 3 administrator accounts, along with messaging, check-in and registering an exhibitor yourself.
